VividHR uses artificial intelligence to assist with recruitment activities across three products: CV Match (CV analysis), Video Pre-screen (video interview assessment), and HR Assistant (SA labour law guidance). This policy explains how AI is used, its limitations, and your responsibilities as a user.
AI-generated scores, rankings, assessments, and answers — including VIVID-FIT™ scores, CV match scores, and HR Assistant responses — are decision-support tools only. They are not binding determinations and do not replace the professional judgment of a qualified human recruiter or HR practitioner.
All final hiring, shortlisting, and employment decisions remain the sole responsibility of the account holder. VividHR accepts no liability for outcomes arising from decisions made on the basis of AI-generated content.
We design our AI systems to minimise bias across protected characteristics including race, gender, age, disability, and religion. However, no AI system is entirely free from bias. AI assessments may reflect patterns in training data that could inadvertently favour or disadvantage certain groups.
You are responsible for reviewing AI outputs critically and ensuring your hiring process complies with the Employment Equity Act (EEA) and all applicable anti-discrimination legislation. We strongly recommend that AI assessments are used alongside — not instead of — human evaluation.
VividHR uses third-party AI models, including Anthropic Claude, to process content submitted to the platform. Candidate data submitted for analysis (including video transcripts and CV text) may be processed by these providers under their respective data processing agreements.
Our AI providers are contractually prohibited from using your data to train their models. For details on Anthropic's data handling, see their privacy policy at anthropic.com.
CV Match uses AI to extract structured information from CV documents, score candidates against job requirements, and identify potential red flags such as employment gaps or inconsistent timelines.
CV analysis results reflect the information contained in the uploaded documents and the job description provided. Results may be inaccurate if documents are poorly formatted, contain errors, or if the job description is incomplete. Always review AI rankings alongside the original CV.
Video Pre-screen uses AI to transcribe video responses and score candidates across behavioural domains using the VIVID-FIT™ framework. Scores reflect patterns in verbal communication and stated responses — they do not constitute a psychological assessment.
Video analysis must not be used as the sole basis for rejection. Candidates with accents, speech differences, or poor recording quality may be disadvantaged by automated transcription. Human review of video content is strongly recommended before final decisions.
HR Assistant provides information about South African labour law and HR practices, grounded in legislation including the LRA, BCEA, EEA, COIDA, and National Minimum Wage Act. All responses cite the specific legislation relied upon.
HR Assistant responses do not constitute legal advice. The platform is not a law firm and no attorney-client relationship is created by using HR Assistant. For matters with material legal consequences — including dismissals, retrenchments, or CCMA proceedings — you should consult a qualified labour law practitioner or attorney.
Legislation changes over time. While we update our knowledge base regularly, some information may be outdated. Always verify critical information against the current version of the relevant legislation.
By using VividHR, you agree to maintain meaningful human oversight of all AI-assisted processes. You will not use automated AI outputs as the sole basis for any decision that materially affects a person's employment prospects without human review.
This requirement applies to all users regardless of account type or subscription level.
We recommend that you inform candidates when AI tools are being used to assess them, in accordance with principles of transparency and fairness. In some circumstances this may be required under the EEA or other applicable legislation.
